How it works

We handle the outreach.
You build the relationship.

This is how a vin/tr campaign works, from the initial brief to the first conversations with importers, step by step. Your role is straightforward: take over when an importer responds.

From brief to buyer conversations.

Each step prepares the next, and much of the work happens before the first email is sent.

Before the first email

We prepare your campaign.

  1. Onboarding and targeting brief

    You

You fill out a short onboarding form: your wines, their positioning and price band, your target markets, your ideal importer and anyone you want us to exclude.

  2. Building your importer list

We select importers directly from our database, built and maintained across more than 160 countries. The list is filtered by country, portfolio, volume and the criteria defined in your brief.

  3. Domain and inbox infrastructure

We register a dedicated domain for your outreach and create the campaign inboxes, configured from the start to deliverability best practice. Your usual address is never used to send: replies from interested importers come directly to you.

    Why separate inboxes?

A dedicated domain and separate inboxes keep the outreach completely separate from your normal business email, and let the sending reputation be built specifically for prospecting.

  4. Warmup

Before the first outreach email is sent, each inbox goes through roughly 30 days of warmup, with activity increasing gradually to build a sending history.

    Why warmup?

A new inbox has no sending history with mailbox providers, and starting straight away with high volumes of outreach increases the risk of messages being filtered. Warmup builds that history before the campaign begins, so the inboxes reach launch with an established record.

  5. Copywriting and the sequence

    You approve

We write a three-email sequence tailored to your winery, your wines and the target markets: one initial message followed by two follow-ups. You approve the three emails before launch: that is your only task.

During the campaign

We run it. You take the replies.

  1. Launch and sending cadence

Campaigns go live and run in parallel across your markets. Volume stays deliberately low: around 30 emails a day per inbox, on weekdays only, paced and timed to keep the domains healthy.

  2. You take over

    Replies and the handoff

When an importer shows interest, the reply lands in your real inbox and we step back. From that point, the conversation is yours. A good first reply asks for your export prices, samples or a tasting: have them ready.

  3. Reporting and signed markets

On the first of every month you get a report on how the campaign is performing. And if you sign an importer in one of your markets, you tell us: we pull that market out of your outreach immediately and the next market takes its place, at the same monthly price.

After the campaign

Everything stays yours.

  1. End of campaign and ownership

    Yours to keep

At the end, everything belongs to you. The sequences, the replies, the data the campaign generated. The sending domain and inboxes can be transferred to you if you want to keep prospecting on your own. Or you start a fresh campaign on new markets with a renewed list.

The groundwork comes first. The conversations follow.

Export prospecting compounds. The first weeks are focused on infrastructure, targeting and warmup before outreach begins.

  1. Day 0Onboarding and brief. Infrastructure goes up, inboxes start warming.
  2. Weeks 1 to 4The 30-day warmup. Quiet on the surface, essential underneath.
  3. Week 5Outreach begins. The first replies can arrive.
  4. Month 2Follow-ups in progress. Conversations begin to build.
  5. Months 3 to 6Tastings, samples, and the first agreements taking shape.
  6. Months 6 to 12Enough data to see where your wines respond best. The minimum commitment ends: you compare markets and decide.

How long until I see real results?

The sequence runs over weeks, importers rarely reply the first time, and the best conversations often start with the second follow-up. First replies usually land around week five and momentum builds from month two. Getting a real read on each market, and turning replies into distribution, takes the better part of a year. It is a longer game by design.

When you are ready

We target your markets.

If this approach fits your export plans, tell us your target markets and your ideal importer. We take it from there.
